How to review newsletter delivery reports in Edlio CMS, understand recipient delivery statuses, open rates, and link click tracking.

Newsletter Reports provide comprehensive analytics on how recipients engage with emails sent through the Edlio CMS. By evaluating open rates, unique link clicks, delivery confirmations, and bounce reasons, school communicators can assess parent engagement and maintain clean, up-to-date recipient lists.

Accessing Newsletter Reports

Finding reports in your admin panel

  1. Navigate to Communications > Newsletters in the CMS main navigation menu.

  2. Locate the sent newsletter you want to examine in your email history list.

  3. Select Report from the action menu next to the newsletter title.

Evaluating delivery and recipient statuses

Inspecting individual recipient outcomes

Click on the total Recipients metric count to view a searchable roster of every email address included in the dispatch along with its exact delivery status:

Delivery status definitions

  • Scheduled: The newsletter delivery is queued and scheduled to dispatch at the designated time.

  • Sent: Handed off to outgoing email servers; waiting on recipient mail server confirmation.

  • Delivered: Successfully received and accepted by the recipient's mail provider (e.g., Google, Microsoft, Yahoo).

  • Deferred: The recipient's mail provider temporarily delayed delivery (often due to temporary server rate limits or graylisting). Delivery is automatically retried for up to 72 hours.

  • Not delivered: Delivery failed due to an invalid email format or permanent destination server rejection.

  • Bounced: The destination server reported that the mailbox does not exist or has been disabled.

  • Dropped: The system did not attempt delivery because the address has repeatedly bounced on past emails.

  • Spam Report: The recipient marked the newsletter as junk/spam in their mail client.

  • Unsubscribed: The message was withheld because the contact previously opted out of newsletter distributions.

💡 Email Scanning Notice: Open and click metrics provide valuable engagement trends, but automated security/antivirus filtering (such as Microsoft Defender or Google Workspace SPAM protection) may pre-fetch links, occasionally registering automated opens or clicks.

The summary performance chart highlights key interaction milestones:

  • Total newsletters Delivered

  • Total newsletters Opened

  • Total newsletters with link Clicks

  • Undelivered and unsubscribed counts

The Links with the most clicks section ranks the URLs embedded in your email:

  • Total clicks: The gross count of every click recorded across all recipients.

  • Unique clicks: The number of distinct individual recipients who clicked the link (counting each person once regardless of multiple clicks).
