Grant Multisite Access to a user

How district Super Administrators can assign or revoke per-site access levels for users — one site at a time or in bulk across all connected Edlio sites.

Who can do this: Super Administrators on the district website can grant Multisite Access. The user receiving access must already exist on the district website.

Multisite Management Access lets a user switch between any and every Edlio website in your organization. This article walks through how a district Super Administrator grants access to other users— either specific sites, or in bulk across all/many sites at once.

1. Open the user's profile

Sign in to the district website as a Super Administrator and go to Site Management → User Management. Find the user and click their name to open the profile. You can also click on their name to open their profile.

2. Open the Multisite Access tab

On the user's profile, you'll see two tabs:

  • Site Privileges — the user's access on the current site (the district website).

  • Multisite Access — per-site access for every other Edlio website in your organization.

Click Multisite Access. You'll see every connected site, along with the user's current access level on each. Sites the user has not been granted access to show No Access.

3a. Grant access to one site

Find the site you want to grant access to, and click the row's Change Site Access button (right side of the row). A modal opens:

  • Title: Change Site Access

  • Site Access dropdown: pick one of the five access levels (see below).

  • Click Change.

The change takes effect immediately. The user can now sign in to that site with the access level you chose.

3b. Grant access to many sites at once

If the user needs the same access level across several sites, use the bulk action:

  1. Use the checkboxes on the left of each row to select every site you want to update.

  2. A bulk-action toolbar appears at the top with Cancel, Bulk Change Site Access, and an N Selected count.

  3. Click Bulk Change Site Access. A modal opens.

  4. Pick the access level from the Site Access dropdown.

  5. Click Change.

Note: If any selected sites have a conflicting user with the same username or email, the bulk modal shows: "Some of the selected sites have conflicting users and so site access will not be changed for those sites." The change applies to all non-conflicting sites; conflicting ones are skipped silently.

Access levels

The same user can have a different level on each site. Choose per site based on what the user needs to do there.

  • Super Administrator — all admin actions including granting Multisite Access and managing administrator users.

  • Website Administrator — all admin actions except granting Multisite Access and managing administrator users.

  • Standard User — content management within assigned sections; cannot manage site settings.

  • Minimal Access User — can view assigned password protected areas on the public website; no access to the admin site.

  • No Access — user exists on the district but cannot sign in to this child site. (Default for users who have never been granted access.)

Revoke access

To remove a user's access from a site, set their Site Access on that site to No Access. You can do this per site (single Change Site Access modal) or for many sites at once (Bulk Change Site Access). The user keeps their district profile and can still be granted access again later.

After you grant access

  • The user gets an MSM badge on their profile indicating they now have Multisite Access. (MSM is short for "multi-site management" — it's a marker, not a separate permission.)

  • The user can switch between their connected sites using the Navigate to another site dropdown in the header.

  • Profile fields like name, email, phone, and address are synced across all connected sites. See Manage Multisite Users for Districts for the full sync behavior.
