Manage Data Lists

How to edit columns, add and update records, sort table items, and replace datasets via CSV in the Edlio CMS Data Lists feature.

📌 Feature Availability Notice — Enabled on a site-by-site basis: The Data Lists feature is an advanced structured data and directory management tool enabled on a site-by-site basis. If you do not see Page Management > Data Lists in your CMS admin navigation or the Data List option in your Add Page Block menu, reach out to Edlio Technical Support or your Client Success Manager (email [email protected]) to discuss turning this feature on for your school or district.

To make updates or structural adjustments to an existing data list, navigate to the Data Lists feature under Page Management. Click the action menu (three dots ...) next to the data list and select Edit. This opens the list editor where you can customize column definitions, add new records, reorder items, or replace datasets.

💡 Best-Practice Adoption Tips

  • Bulk Updates via "Replace with CSV": For seasonal directory refreshes (such as annual staff roster rollouts), download your current list as a CSV backup, update your spreadsheet offline, and use Replace with CSV to update the entire list in one step without breaking existing page block embeds.

  • Column Sorting Strategy: Order columns logically from left to right—starting with primary identifiers (Name, Title) followed by secondary details (Department, Email, Phone)—to maximize readability on desktop and tablet screens.

Manage Columns

Click the Manage Columns button to adjust column names, add new fields, or reorganize their visual display order across your website.

Add and Edit Individual Records

To add a new row manually without uploading a spreadsheet, click the primary + Add single item button. A modal opens with input fields for every active column in your list. Fill in the required information and save your entry.

To edit an existing row, click the ellipsis menu (...) on that record's row and choose Edit. You can update field text, phone numbers, or URLs, and changes will immediately reflect wherever the Data List block is embedded.

Replace Records with a Fresh CSV

If you have extensive roster updates, click Replace with CSV. The system validates your new file against the existing column definitions and updates all matching records in place. For step-by-step formatting requirements, review our guide on Creating Data Lists via CSV.
