Edlio CMS provides built-in accessibility governance controls that allow school and district administrators to enforce compliance standards across their website. From the Accessibility settings panel, administrators can require all accessibility issues to be resolved prior to publishing, mandate alternative text (alt text) for media, and require administrative approval before AI-generated alt text goes live on the public site.
Important planning notice: Before enabling strict accessibility settings (especially the alt text mandate), we recommend giving staff and content creators 1 to 2 weeks advance notice so they can audit existing media and add required descriptions.
Navigating to Accessibility settings
To configure site-wide accessibility rules:
From your Edlio CMS dashboard, open the hamburger menu or navigate to Site Management > Settings.
In the left sidebar under Settings, select Accessibility.
Configure your preferred governance options and select the blue Save button in the upper-right corner.
1. Accessibility Report (content moderation)
The Accessibility Report section acts as a quality gatekeeper for your website content. By checking All issues must be resolved before publishing News or Pages, your district enforces pre-publish remediation for all staff.
What can and cannot users do?
Unresolved issues block publishing: If any page or news story contains unresolved accessibility errors (such as contrast failures, missing heading hierarchies, or empty links), non-admin users can only save the page as a draft or save the news story as unpublished.
Publishing unlocks on resolution: Once every flagged accessibility issue in the report panel is resolved, content creators can publish their page or story live.
Dismiss and restore restrictions: Standard users cannot dismiss or restore accessibility issues or notices.
Administrator override: Website Administrators and Super Administrators can always publish pages and news stories regardless of open issues, and retain full permission to dismiss issues when appropriate.
2. Alt text requirement
Alternative text ensures screen readers and assistive technologies can describe images and visual media to all visitors. Under the Alt Text Requirement section, the Enforce alt text setting is strongly recommended to guarantee WCAG and ADA compliance across your website, and is turned on by default for your school or district.
Alt text required for all images and videos
Missing alt text hides public media: ALL images and videos without alt text—including hero photos in your homepage Shuffle—will be hidden from the public website. This includes media previously added to pages, posts, news articles, and spotlight messages.
Saving is blocked: Content creators will be prevented from saving pages, posts, news stories, calendar events, photo albums, and spotlight messages until every image and video on the item has descriptive alt text.
Admin warnings: Any images and videos missing alt text will display clear visual warnings across all management areas in the Edlio admin.
Profile pictures on staff directory pages
To comply with accessibility standards and eliminate redundant links for keyboard and screen-reader users, profile pictures displayed on staff directory pages will not be clickable on the public website when this setting is active. Visitors navigate to staff profiles by selecting the staff member's name link directly.
3. Edlio AI alt text approval required
Edlio CMS provides automated AI-generated alternative text suggestions when uploading images or running accessibility scans. The Edlio AI Alt Text Approval Required section provides an administrative review safeguard.
When Require approval before publishing AI-generated alt-text is enabled:
Any image assigned alt text generated by Edlio AI must be reviewed and approved by an administrator before it is considered compliant.
Images with AI-generated alt text that are pending approval will not be visible on the public website until an administrator approves the text.
