Manage news stories

This article explains how to manage existing news stories in your school's website content management system.

Accessing News Management

  1. Navigate to News & Alerts in your admin dashboard

  2. Select the news category you wish to manage from the dropdown menu

Reordering News Stories

To change the order in which news stories appear on your website:

  1. Locate the 8-dots icon on the left side of each news story

  2. Click and drag the story to your desired position

  3. Release to set the new order

The order you set here determines which stories appear prominently on your website's landing pages.

Managing Individual Stories

Each news story has a 3-dots icon on the right side that provides access to management options:

Edit

Modify the details, content, or settings of an existing story.

Announce

Share the news story through additional communication channels including:

  • Broadcasts

  • Newsletters

  • Push Notifications

  • Social Media

Public View

Preview how the story appears to visitors on your public website.

Unpublish

Hide the story from public view while keeping it accessible in your admin system. Unpublished stories can be viewed by clicking Show unpublished news in the top right corner.

Copy

Create a duplicate of the story with pre-filled content from the original. After copying:

  1. Make necessary updates to the duplicated content

  2. Provide a unique headline to distinguish it from the original

  3. Save the new story

Delete

Permanently remove the story from both your admin system and public website. Warning: This action cannot be undone.

Understanding Status Indicators

Homepage Indicator

Stories marked with a homepage icon appear on the landing page for their respective category.

Examples:

  • Stories in the main News & Announcements category appear on the school's home page

  • Stories in Athletics News appear on the athletics landing page

Alert Indicator

Shows that a story is currently set as the homepage popup alert. Only one story can be active as a popup alert at any time.

Scheduled Indicator

Indicates the story is scheduled for future publication and is not currently visible on the public website.

Expired Indicator

Shows that a story's scheduled display period has ended.

Searching for Stories

Use the search function to quickly locate specific news stories by entering keywords from:

  • Story titles

  • Story summaries

  • Story content

Hiding News Stories

You have three options for removing news stories from public view:

Hide from Homepage

Schedule a story to be removed from the homepage at a specific date and time. The story will remain accessible on your News and Announcements page but will no longer appear prominently on the homepage.

Unpublish

Completely remove a story from public view while retaining it in your admin system. This removes the story from both the homepage and category pages. Access unpublished stories by clicking Show unpublished news.

Delete

Permanently remove a story from both your public website and admin system. Use this option only when you are certain you will not need the story again, as deletion cannot be reversed.

Best Practices

  • Use Unpublish instead of Delete if you might need to reference or reuse content later

  • Regularly review and reorder stories to keep the most important information visible

  • Use the Copy function to create templates for recurring announcement types

  • Check the Public View before making stories live to ensure proper formatting
