Documents Overview: Navigating and Uploading Files

Learn how to navigate the Edlio CMS Documents manager, search directories, and upload files and folders to your school document repository.

📌 Feature Availability Notice: The Documents module is an advanced file management tool enabled on a case-by-case basis. If you do not see Media > Documents in your CMS admin navigation, contact Edlio Technical Support or your Client Success Manager to discuss enabling Documents for your site.

Overview

The Edlio CMS Documents manager provides a unified, searchable file repository for school and district forms, board policies, handbooks, and public resources. Instead of managing attachments across individual page content blocks, Documents gives administrators a single directory tree organized under Site Root.

Key Navigation Elements

  1. Upload File or Folder (Add File / Folder): Located at the top right of the Documents dashboard. Clicking the blue button opens a dropdown with options to create a New Folder, Upload File, or Upload Folder in bulk.

  2. Instant Search Bar: Located directly below the page title. Type any keyword to instantly filter documents across all directories and subfolders.

  3. File Repository Table: Displays all files organized within the current directory. Each row displays the file selection checkbox, file type icon, document name, Last Modified date and timestamp, File Size, and an action ellipsis menu (...).

Uploading Files and Creating Folders

To upload new files to your document repository:

  1. Navigate to Media > Documents from your main CMS dashboard.

  2. If you want to place the file inside a specific subfolder, click into that folder from the directory list.

  3. Click Add File / Folder in the upper-right corner.

  4. Select Upload File to choose one or more files from your computer, or select Upload Folder to upload an entire directory structure.

  5. Once uploaded, your file appears immediately in the table with its active public link ready to share.

⚠️ Best Practice for File Naming: Always establish a consistent, static naming convention for official files (e.g., District_Policies_Handbook.pdf rather than Handbook_2025_v2_final.pdf). Static names allow you to update file contents annually using the Replace feature without ever breaking existing website links or bookmarks, as using the Rename feature changes the link's URL.
