Step 1: Access the Chatbot Feature
Navigate to the Chatbot section by clicking on the hamburger menu (☰) in the top left corner of your CMS dashboard, then select Chatbot from the menu options.
Step 2: Begin Initial Configuration
On the Chatbot entry page, you'll see an overview of the chatbot feature with a preview showing "Learn about our chatbot feature" and "Provide instant answers, around the clock." Click the blue Customize Chatbot button to proceed with setup.
Step 3: Customize Your Chatbot
After clicking the Customize Chatbot button, you'll be directed to the customization page where you can personalize your chatbot's appearance and messaging. For detailed instructions on all customization options, please refer to our Configuring Your Chatbot help center article.
Step 4: Chatbot Indexing Process
Once you've saved your customization settings, you'll be automatically returned to the Chatbot entry page. You'll see a message stating "Preparing the chatbot for the first time..." with a loading spinner.
During this phase:
The chatbot is indexing your website content
It's learning all key information about your school
This process typically takes 1-2 minutes
Important: If the indexing process takes longer than 2 minutes, refresh your browser page to check the status.
Step 5: Access the Chatbot Dashboard
After the indexing completes successfully, you'll be directed to the chatbot dashboard where you'll see:
The status showing "Chatbot is OFFLINE" (in red) with the last indexed timestamp
The "Visible to Public" toggle in the OFF position (grayed out)
The main dashboard displaying "All Conversations" (initially showing "No conversations found")
Step 6: Make Your Chatbot Visible
The final step is to make your chatbot visible to website visitors:
Locate the "Visible to Public" toggle switch in the upper right section of the dashboard
Click the toggle to switch it to the ON position (the toggle will turn blue)
The status will change from "Chatbot is OFFLINE" to "Chatbot is LIVE" (in green)
A green success message will appear: "The chatbot is activated and publicly available now"
Your chatbot is now active and visible on your website!
Managing Your Chatbot
Once activated:
The chatbot icon will appear on your website based on your chosen position (bottom-left or bottom-right)
You can monitor all conversations through the dashboard
You can turn the chatbot off at any time by toggling the "Visible to Public" switch to the OFF position
Access customization options anytime by clicking the Customize button in the top right corner
