Learn Tips & Tricks to Manage Your Content Like a Pro, From a Pro!

Updated over 3 months ago

We’re so excited for you to start exploring, updating, and truly making your site your own.

To do that, we want to introduce you to Natalie! Natalie has led our Content Migration team for many years, and she is here to give you a few tips and tricks on how to create the best pages for your website.

Take it away, Natalie!

Welcome to Edlio! As Edlio’s content migration specialist, I’ve had the privilege of building thousands of Edlio pages over the years. Along the way, I’ve learned a lot about what makes pages visually appealing, accessible, mobile-responsive, and easy for visitors to navigate.

Below, I’ve gathered some helpful tips to guide you through organizing, updating, and styling your site post-migration!

Understanding Your New Website Structure:

When you receive your site, your content will be organized thoughtfully to set you up for success:

  • In Pages, Edlio has 3 levels of organization:

    • Level 1: Categories

      • Thematic groups that organize your site's content at the highest level (such as Departments, Athletics, etc.).

      • Categories are set up during migration; you can rename, hide, or unhide them anytime in your Pages settings.

    • Level 2: Sections

      • Groupings of related pages inside each Category.

      • Sections are based on your sitemap's navigation tabs and dropdown menus — with nested sections created when needed.

    • Level 3: Pages

      • Individual webpages where your content lives.

      • Pages are placed inside the appropriate Section and built using the content you provided during the project setup.

  • The Site Navigation is set up for you based on your provided sitemap, with containers (first-level menu headings) and dropdowns (links to pages, features, or external sites). You can make any adjustments — add, edit, or remove items — anytime in your Site Navigation settings.

  • Edlio features listed in your sitemap (like News or Staff Directory) are linked in your navigation and ready to be populated.

  • Pages were built using your provided source content, and may have been lightly rearranged to promote accessibility, mobile responsiveness, and Edlio feature optimization.

  • Each page uses a Page Layout that best suits its content, showcasing a mix of photo blocks, file blocks, buttons, links lists, staff blocks, and content blocks.

🔎 Quick Tip: Press the “Search Pages” button to get a snapshot of how your pages are organized!

Managing Content Behind the Scenes:

Your Pages admin is organized into distinct thematic categories to keep your backend clean and intuitive.

You can easily:

🔎 Quick Tip: If you move a section between categories after launch, the page URL will change. If that page is linked elsewhere (like inside other pages), you may need to update those links!

Page Best Practices: Do's & Don’ts

✅ Do:

  • Use the Clear Formatting button in the Rich Text Editor when pasting text to maintain your site's consistent design.

  • Utilize Page Layouts to add and organize sidebar and hero area content.

  • Follow an accessible heading structure:

    • Page title = Header 1

    • Main section titles = Header 2

    • Sub-sections = Header 3

  • Create custom, friendly URLs for pages in Page Options.

  • Use Links Lists for recurring quicklinks or stylized landing pages for athletic teams, subject areas, or district departments (add icons for extra flair!)

  • Use bullet/numbered lists to organize information cleanly — helpful for both readers and screen readers.

  • Update file names to be descriptive when adding documents, and use embed view for an interactive view without leaving the webpage.

  • Use collapsible content blocks to keep content-dense pages clean and easy to scan. They're perfect for FAQs, policy pages, curriculum overviews, and more!

  • Support better access for all visitors by following tips in our Accessibility Learning Path — it covers best practices for crafting content and using native Edlio features to build accessible pages

    • Interested in Accessibility? Contact our team to inquire about our Accessibility tool, which scans your page content for accessibility issues and uses AI-powered remediation to help keep your content compliant and accessible.

🚫 Don’t:

  • Use tables for page layout — instead, use inline images, line breaks, or sidebars.

  • Use multiple different fonts on one page — stick to your site’s default for a clean, cohesive look.

Simple Ways to Make Your Pages Shine ✨

  • Add a hero image to the top of the page (ideal aspect ratio: 16:6).

  • Customize font color, size, bolding, or italics for emphasis (but avoid underlining non-links!).

  • Embed a News or Events block to keep visitors updated.

  • Add Staff Blocks from your directory — choose from six display styles!

  • Embed videos from your Edlio Media Library or third-party sources.

  • Use buttons or embedded links lists to create clear calls to action.

  • Place the section menu in the hero area to create a clean, full-page layout while keeping an easy-to-navigate menu right at the top. ⚡Tip: These menus look great under a crisp hero image!

Advanced Customizations (Optional!):

If you’re comfortable using a little HTML, you can take your pages even further by opening up the <> source code tool in the Rich Text Editor Toolbar (RTE):

  • Add line breaks using <hr> tags.

  • Customize your lines with colors and thickness:

<hr style="color: #d12923; background-color: #d12923;">
<hr style="height: 5px; width: 100%; color: #d12923; background-color: #d12923;">
  • Add background colors to content blocks with a styled <div>

<div style="background-color: #f9f4f1; width: 100%; padding-left: 7px; text-align: center;">

(⚡Remember to maintain high color contrast for accessibility!)

  • Insert blockquote formatting by wrapping text in:

<blockquote>Your quote here</blockquote>
