How to Create a New Message

The "New Message" feature in the Edlio Mobile App allows you to send communications to your school community through multiple channels. This guide provides step-by-step instructions for creating and sending messages effectively.

Accessing the New Message Feature

  1. Log in to your EdlioApp admin panel at edlioapp.com

2. Navigate to Mass Communication on the dashboard

3. Click New Message from the Mass Communication dashboard

Creating a New Message

The message creation process is organized into four steps:

  1. Channels - Select how your message will be delivered

  2. Targets - Choose who will receive your message

  3. Compose - Create your message content

  4. Send - Review and deliver your message

Step 1: Selecting Channels

In this step, you'll choose which communication methods to use for your message:

  1. Enter a descriptive name for your message in the "Name" field (this will only be visible in the reports)

  2. Select one or more channels:

    • App - Sends a push notification to the mobile app

    • Email - Delivers your message via email

    • Text - Sends an SMS text message

    • Voice - Delivers an automated voice call

    • Social - Posts to connected social media accounts

3. Click Continue to proceed to the next step

Note: The channels available to you may vary depending on your organization's settings and permissions.

Step 2: Selecting Targets

In this step, you'll specify who should receive your message:

App Tab

  1. Select from the targeting options:

    • All Users - Send to everyone in your organization

    • Roles - Target specific user roles (Students, Parents/Guardians, Teachers, Administrators)

    • Target Lists - Select from custom lists you've created

    • Categories - Choose from subscription-based categories

  2. For each target type you select, choose the specific groups or individuals

  3. Review your selected audience in the summary panel after you click Continue

Email, Text, Voice Tab

  1. Select from the targeting options:

    • Default Language: The system will translate the messages to the home language set for each user (only if there is one set, if not it will use the default language shown here)

    • Target Lists - Select from custom lists you've created

  2. Review your selected audience in the summary panel

4. Click Continue to proceed to the next step

Step 3: Composing Your Message

In this step, you'll create the content for your message:

  1. Enter a Title for your message

Please Note: Your message will carry over to each channel for you to edit as needed

2. Compose your message body using the rich text editor

3. For App notifications:

  • Keep messages concise

  • Use clear action words

4. For Email messages:

  • Format text using the toolbar options

  • Add images by clicking the image icon

  • Insert links using the link tool

  • Add attachments if needed (note file size limits)

5. For Text and Voice messages:

  • Keep content brief and essential

  • Avoid special characters that may not translate properly

6. For Social posts:

  • Check character limits for each platform

  • Consider how media will display

7. Click Continue to proceed to the next step

Step 4: Sending Your Message

In this final step, you'll review and schedule your message:

  1. Review your message details:

    • Selected channels

    • Target audience

    • Message content

  2. Choose when to send your message:

    • Send Now - Deliver immediately

    • Schedule - Set a future date and time

  3. For scheduled messages:

    • Select a date from the calendar

    • Choose a time

    • Verify your time zone setting

  4. Click Send or Save Draft to finalize

Reviewing Message Status

After sending or scheduling:

  1. You'll see a confirmation screen with message details

  2. The message will appear in your "View Messages" list

3. Status indicators will show if the message is:

  • Scheduled

  • In progress

  • Sent

  • Failed

Advanced Features & Tips

Optimizing Multi-Channel Messages

When using multiple channels for the same message:

  1. The basic message will be shared across all channels

  2. Customize channel-specific content by selecting each channel tab during composition

  3. Optimize for each channel's strengths:

    • App notifications: brief, actionable

    • Email: detailed information and attachments

    • Text: critical, time-sensitive information

    • Voice: concise, clearly pronounced information

Using Rich Media

Enhance email messages with multimedia:

  1. Images:

    • Click the image icon in the toolbar

    • Upload a new image or select from library

    • Set alt text for accessibility

    • Adjust size and alignment

  2. Videos:

    • Use the embed option in the toolbar

    • Paste video link (YouTube, Vimeo, etc.)

    • Set display options

  3. Attachments:

    • Click the attachment icon

    • Upload files (PDF, Word, Excel, etc.)

    • Note the file size limitations

Message Templates for Consistency

Save time and ensure consistency with templates:

  1. Create templates for recurring message types

  2. Apply templates from the dropdown during composition

  3. Customize the template content as needed for specific messages
